TaxVault (https://taxvault.ekdantsolutions.com) is a document management service that lets Chartered Accountants ("CAs") and their clients exchange invoices, GST and income-tax documents. This policy explains what we collect, why, and how it is protected.
1. Information we collect
- Google account details when you sign in with Google: your name, email address and profile picture. We never receive your Google password.
- Profile information a client provides at registration: legal and trade name, entity type, PAN, GSTIN, GST registration type and filing frequency, mobile number, address, state and PIN code, and date of birth or incorporation. We do not collect Aadhaar numbers.
- Documents you upload or that your CA shares with you (invoices, GST returns, ITR documents and chat attachments), the text extracted from invoices, and the invoice details your CA verifies.
- Messages and notifications exchanged between a CA and their client within TaxVault.
- Technical records: sign-in times, IP address and an audit log of actions (for example approvals, deletions and exports), kept for security.
2. How we use it
- To let you sign in, and to show each person only the data they are entitled to see: a CA sees only their own clients; a client sees only their own documents.
- To store documents and read the text of uploaded invoices so your CA can review them.
- To let your CA prepare GST and income-tax filings and export approved invoices to accounting software (Tally).
- To send notifications and invitation emails related to the service.
We do not sell your data, use it for advertising, or share it with anyone other than the CA you are linked to and the service providers listed below.
3. Google user data
TaxVault uses Google Sign-In to verify your identity, and Google Drive to store documents. For Drive, TaxVault requests only the drive.file permission, which allows it to create files and folders and to access only the files TaxVault itself created. It cannot see any other file in the connected Google Drive.
Files are stored in a single TaxVault-managed Google Drive account connected by the service administrator. TaxVault uses Google Drive's built-in text recognition to read uploaded invoices; the temporary copy made for this purpose is deleted immediately afterwards.
TaxVault's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide and improve the features described here, is not transferred to others except as needed to provide the service or required by law, is not used for advertising, and is not read by humans except with your consent, for security purposes, or as required by law.
4. Where data is stored and who can access it
- Documents: Google Drive (Google LLC). Account, profile and invoice data: our database on a server operated for Ekdant Solutions. Email is sent through our email provider.
- Files are never shared publicly. Every download passes through TaxVault, which checks that you are allowed to see that file.
- Connections are encrypted (HTTPS). Secrets such as the Google Drive access token are stored encrypted.
5. Retention and deletion
Documents remain available to you and your CA while your account is active. A document deleted by a CA is kept in a recoverable trash for 30 days and then permanently deleted from TaxVault and Google Drive. To close your account or ask for your data to be deleted, contact your CA or write to us at the address below; we will act within 30 days, subject to records your CA is legally required to keep.
6. Your choices
- You can view and correct your profile in TaxVault at any time.
- You can revoke TaxVault's access to your Google account at myaccount.google.com/permissions.
7. Children
TaxVault is a business service and is not intended for children under 18.
